QuickBooks Reports

There are many ways you can customize your QuickBooks reports.

Here are some tips on how to create, understand and customize your financial statements and other QuickBooks reports.

Financial Statements

For a description of the four basic financial statements, click here.

As for customizing your financial statements in QuickBooks, let's start with the Profit and Loss statement. Here are some ways you can customize the profit and Loss Statement.

After the P & L or Income Statement, the next statement that is probably most commonly used in QuickBooks is the Balance Sheet. Click here to learn more about how to use the Balance sheet in QuickBooks.

Accounts Receivable

The accounts receivable report tells you how much your customers owe. For help customizing the accounts receivable and other customer reports, click here.

Check Reports

one report that is very helpful if you hand-write your checks is the missing checks report. This will help you keep track of entering all your checks in QuickBooks for bookkeeping purposes.

I've also found this report helpful when the printer goes awry and I need to make sure the check numbers I have in QuickBooks match the actual check.

Another very helpful check report is the check registry. To print this report, pull up the check registry, click print and then select the dates you want to print. This is helpful if you just want to look at a detail of what came in and out of your bank in a single day.

Bank Reconciliation Discrepency Report

For other check reports, we will look at 1099 and other vendor reports next.

Find Reports

This is by the far the QuickBooks report that I use the most. It allows you to look anything up by name, date, account, description, class, any one thing or a combination of the above. It is so easy to do and incredibly helpful. For more on how to create a report from find, click here.

Additional Reports

Customizing Your QuickBooks Reports

Some ways you can customize your report are to put your logo on the report, customize the date of the report, what items, accounts, names, etc. show up on the report. One very helpful feature is to be able to customize your report by class. Click here to learn more about how to do this.

You can find out more information about how to customize each report by clicking on the reports above.

You can also memorize your report once you've customized it so that you can easily view it any time you need it. Just open the report you want to customize, click on memorize, name it whatever you want and later when you need to find it just go to Reports, then Memorized Reports and select your memorized report.

Exporting Your QuickBooks Reports

You can pdf your report for a better look and to be able to email it or save it on a flash-drive. Just open the report you want to export, click file, then save report as PDF.

You can also export your reports into Excel so that you can further customize it. If you understand the basics of Excel, you will find this feature incredibly helpful. Just open the report you want to export, then you can save it as a new excel file, a CVS file or save it in an existing excel file.

Once in Excel, you can add columns, further customize column, whatever you need. If you're not familiar with Excel, click here for a guide to using Excel for accounting.
